Update Submittal Register Dates
In the Submittal Register form, one way of establishing a due date for the submittal register item is to create a link to a Schedule Task record. The schedule task start or finish dates can be used as the due date.
Referencing a schedule task can help you to plan the order in which items need to be completed.
The date you set using the Schedule Link feature can be further modified to incorporate the days needed for the approval, fabrication, or delivery of the item.
To create a submittal register due date using the Schedule Link feature
- In the Submittal Register form, click the General tab.
- In the Schedule Link section, click the lookup button next to the Task Name field.
- Select the schedule task to be linked to the submittal register item.
Tip: To clear a task name that has already been added to a record, click
, select the empty row at the top of the task grid, and then click
. The task information is cleared from the form when you save the changes.
- Enter the following information:
- Calc Date: The initial date from which the item due date is to be calculated. Select a date, or click
to use the task date as the starting point for the calculation of the item due date.
- Type: The date type, which is automatically displayed when the task name is selected.
- Do not recalculate Due Date: Select this check box if you do not want future changes in the linked Schedule Task record to affect the item's due date.
- Task Name: The task to be linked to the submittal item. Select the task by using the Task Search window.
- Task Date: The task date, which is automatically displayed when the task name is selected.
- To save the changes and keep the form open, click
> Save.
To modify a submittal register due date using lead times
- In the Lead Times section on the General tab, enter the following information:
- Approval: The number of days required to approve the submittal register item.
- Fabrication: The number of days required for fabrication of the submittal register item.
- Delivery: The number of days required to deliver the item.
- Use Times to set Due Date: Select this check box to determine the date shown in the Due Date field by subtracting the lead time from the Calc Date.
- To save the changes and keep the form open, click
> Save.
To set a linked task's actual dates
- On the General tab of the Submittal Register form, enter the following information:
- Due Date: The date when the submittal item is due.
- Actual Date: The date the responsible company provided the submittal register item.
- +/-: The number of days between the Due Date and Actual Date. For instance, if the submittal register item was due on 1/1/2008 and the actual date it was returned was 1/3/2008 (2 days late), this field would display ‘+2’. Click this field to calculate the number of days.
- Returned Date: The date when the submittal register item was returned to the responsible company after it was reviewed.
- Sch’d Delivery Date: The date on which the materials of the submittal register item are scheduled to be delivered by the responsible company to the jobsite, or other designated location.
- Actual Delivery Date: The actual date when the materials of the submittal register item were delivered by the responsible company to the jobsite, or other designated location.
- +/-: The number of days between the Scheduled Delivery Date and the Actual Delivery Date. For instance, if the submittal register item scheduled delivery date was 1/1/2008 and the actual delivery date was 1/3/2008 (2 days late), this field would display ‘+2’. Click this field to calculate the number of days.
- To save the changes and keep the form open, click
